Run a guest list

A guest list lets your promoters put names down for a night. Each name waits for you. Once you approve it, every guest gets a free QR code, and the door checks them in like a ticket.
Turn it on for a night
- Open the event and go to Tickets.
- Under Guest list, turn on Take guest list names.
- Under Sign-ups close, choose When the night starts or At a set time.
- Click Save.
Promoters then see the night on their Guest list page. They can type names in, or copy a sign-up link that guests fill in themselves. A guest who signs up gives their name and email and says how many people they bring.
Approve names
New names show under Waiting in the event's Guest list section, with the promoter who brought them. You also get a Guest list alert.
- Click Approve on a name, or Approve all.
- Click the X to decline a name.
- Click Take off on an approved name to remove it. Its QR codes stop working.
Approved guests with an email get their QR codes by email, one per person. A name without an email gets no email: the door finds it by name.
At the door
Scan a guest's QR code as you would a ticket. It shows as Guest list. For a name without an email, find them by name on Tickets and check them in by hand. See Check guests in.
Count guest list guests at the door like everyone else, so your capacity stays right. Their places are free and stay out of your sales reports.
Limit how many names
In Settings → Users → Promoters, click Promoter settings and set Places per night. It counts guests, not names. To give one promoter a different number, set it in their own settings. A promoter who reaches it can't add more for that night.
To pay promoters for guests who arrive, set a Guest list amount under Commission. They earn it for each guest checked in.
