Work with promoters

Promoters are not staff. They get their own sign-in with a small dashboard: your upcoming events, their own link to each one, and the sales that came through it. Tickets, tables and passes bought through a promoter's link, or with a promo code tied to them, are credited to them. When a night has a guest list, they can put names on it too. They can turn on a phone alert for each sale.
Invite a promoter
- Go to Settings → Users and open Promoters.
- Click Invite Promoter.
- Enter their Name and Email, then click Send Invite.
They get an email with a link and click Accept invitation. After that they sign in with a code sent to their email, or with Google, and choose Promoter. Someone who already uses VenueStack is added straight away.
Each promoter has their own code, shown in the Link column. Click the link button beside it to copy their link to your events page.
Choose what promoters see and earn
- On Promoters, click Promoter settings.
- Under What they see, turn Guest names, Arrivals, Sale amounts and Commission on or off.
- Under Commission, choose for Tickets, Tables and Passes: No commission, % of each sale, or an amount per ticket, table or pass. For Guest list, set an amount per guest. Then enter the number.
- Under Guest list, set Places per night to cap how many guests each promoter can put on a night's list.
- Click Save.
A percentage is of each sale before fees and tax. The guest list amount is paid for each guest who arrives. A refund takes back what the sale earned. A new rate applies to sales from then on, so past nights keep theirs.
To treat one promoter differently, click the eye button on their row, change what they see, their rates or their places, and click Save. Venue rate keeps them on your settings. Their row shows Own settings while anything differs.
Promoters never see a guest's email or phone number. Names show as first name and last initial. See what each one brought in and earned in the promoter report.
Let a promoter run a team
A head promoter can bring their own people. You pay the head for the whole team, and the head decides what share each member keeps.
- Click the eye button on the promoter's row.
- Under Team, turn on Can build a team, then click Save.
They now have a Team page where they add people by name and email. Each gets their own invite, link and sign-in, and shows on your list in the head's team. To put a promoter you already have in a team, open their settings and choose it under In a team.
Team members earn at their head's rates. You see each member's sales, and the head's row in the report shows the team's total. Only the head and that member see the member's share.
Keep a night off their calendar
Open the event, and on Details turn off Promoters can share it. Then click Save. Promoters no longer see it.
Remove a promoter
Click the trash button on their row, then Remove. They can no longer sign in to your venue. Their links still open your pages, but new sales are not credited to them. Past sales stay in your reports. For an invite that hasn't been accepted, the same button cancels it.
